This Privacy Policy explains how Madison Planting and Design Group, Inc. (“MPDG,” “we,” “us,” or “our”) collects, uses, and protects information when you visit mpdg.net (the “Site”), contact us, apply for a job, sign up for our newsletter, or use the Site’s shop pages. We are a landscape architecture, design, installation, and maintenance company based in Canton, Mississippi, serving the Jackson metro area and projects in Louisiana. We’ve tried to write this in plain English. If anything is unclear, please contact us.

This policy covers the Site only. Information you give us in person, over the phone, or in a signed contract for landscape work is also handled with care, but the terms of your written agreement with us govern that project.

1. Information we collect

Information you give us

  • Contact and consultation requests. Our website contact forms ask for your name, email address, phone number (on our Contact Us page), a subject, and your message. People often include details about their property, such as its address, the work they’re interested in, budget, or timing. Please share only what you’re comfortable sending.
  • Job applications. Our Careers application and job posting forms collect your name, email address, phone number, mailing address, how you heard about the position, your résumé or CV, an optional cover letter, a short bio, and any additional information you choose to provide. The Careers application form currently asks for your Social Security number. See “Job applicants and sensitive information” below for how we handle it.
  • Newsletter sign-ups. If you subscribe through the newsletter pop-up, we collect your email address (and your name if you provide it) so we can send you MPDG news and updates.
  • Shop orders. If you buy something through the Site’s shop, cart, and checkout pages, we collect what we need to process and fulfill the order. That generally means your name, billing and shipping address, email, phone number, what you ordered, and your order history. We do not store full credit or debit card numbers on our Site. Card payments are handled by third-party payment processors, which receive your payment details directly under their own privacy policies.
  • Comments. If you leave a comment on a blog post, we collect the name, email address, and website you enter, along with the comment itself.

Information collected automatically

  • Analytics. We use Google Analytics 4 to understand how visitors use the Site, such as which pages are viewed, how long visits last, what device and browser are used, roughly where visitors are located (city or region level), and how they found us. Google Analytics uses cookies (for example, _ga and _ga_*) and similar technology to do this.
  • Shop and site function cookies. Our shop pages (WooCommerce) use cookies to remember what is in your cart and to keep your session working. WooCommerce may also record how you arrived at the Site (for example, the referring website or campaign) so we can see which sources lead to orders. WordPress may set a cookie to remember your name and email if you choose that option when commenting. The newsletter pop-up uses a cookie so it doesn’t keep appearing after you close it or subscribe.
  • Server and security logs. Like most websites, our hosting provider and our security tools automatically record technical information such as your IP address, browser type, the pages requested, and the date and time. We use this to keep the Site running, block attacks, and investigate problems.

Third-party content on our pages

Some of our pages load content from other companies. When your browser loads that content, those companies may receive your IP address and browser information and may set their own cookies:

  • Google Fonts, for the typefaces used on the Site.
  • Google Maps, for the map of our office on the Contact Us page.
  • Google reCAPTCHA, used on some forms (such as job applications) to tell people from spam bots. Google reCAPTCHA is subject to the Google Privacy Policy and Terms of Service.
  • Social media embeds and share buttons (for example, Facebook, X, LinkedIn, and Pinterest). If you click a share button, the social network handles what happens next under its own policies.

2. How we use information

We use the information described above to:

  • respond to your questions, schedule consultations and site visits, and prepare estimates and proposals;
  • design, install, and maintain your landscape project, and communicate with you about it;
  • review job applications and, if you are hired, complete the hiring process;
  • process, fulfill, and support shop orders;
  • send our newsletter to people who have asked for it;
  • filter spam from our forms and comments, and keep the Site secure;
  • understand how the Site is used so we can improve it; and
  • comply with the law, keep business records, and protect our rights and the rights of others.

3. How we share information

We do not sell your personal information, and we do not share it with third parties for their own marketing. We share information only in these situations:

  • Service providers who help us run the Site and our business. These include our web host, Google (for email delivery through Gmail, Google Analytics, Fonts, Maps, and reCAPTCHA), the plugins and tools we use to run forms, the newsletter, backups, security, and spam filtering, and payment processors for shop orders. Form messages and job applications are delivered to our staff by email through Google’s Gmail service. These providers may use the information only to provide services to us, or as described in their own privacy policies.
  • Project partners. If we need a subcontractor, supplier, or utility locator to complete your project, we share only what they need, such as your name, project address, and contact details.
  • Legal reasons. We may disclose information if required by law, subpoena, or court order, or when we believe it’s necessary to protect the safety, rights, or property of MPDG, our customers, or others.
  • Business changes. If MPDG is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.

4. Spam filtering

We use spam protection on our forms (such as hidden “honeypot” fields, simple challenge questions, and, on some forms, Google reCAPTCHA). Blog comments are checked by Antispam Bee, which runs on our own server and does not send your comment to an outside spam service. Comments flagged as spam are held for review and deleted automatically after 7 days.

5. Job applicants and sensitive information

We know job applications include personal details, and some, like a Social Security number, are especially sensitive. Here’s how we handle them:

  • Application information is used only to evaluate you for employment with MPDG and, if you are hired, for lawful hiring, payroll, tax, and background or eligibility checks that you authorize.
  • Applications submitted on the Site are delivered by email to the MPDG staff responsible for hiring and may also be stored in our website’s database and form system. Access is limited to people who need it for hiring.
  • We do not use your Social Security number for marketing, and we do not sell or share it except as required by law or as needed for a hiring step you have agreed to.
  • If you’d prefer not to submit your Social Security number online, please call us at (601) 859-5915 before applying. We can arrange another way to provide it later in the hiring process.
  • We keep applications for a limited time (see “How long we keep information”). We then delete them or, for people we hire, move them into confidential personnel records.

6. How long we keep information

We keep personal information only as long as we reasonably need it for the purposes above, or as long as the law requires. As a general guide:

  • Contact and estimate requests: as long as needed to respond and follow up. If you become a customer, we keep them with your project records for as long as needed for warranty, tax, and business purposes.
  • Job applications: generally up to two years after we receive them, unless you are hired or the law requires us to keep them longer. Social Security numbers from applicants who are not hired are deleted when they are no longer needed.
  • Newsletter sign-ups: until you unsubscribe or ask us to remove you.
  • Shop orders: as long as needed for accounting, tax, warranty, and legal purposes.
  • Analytics data: kept in Google Analytics according to the retention setting on our account. Google’s own retention practices also apply.
  • Website backups: may contain copies of the information above for a limited time until they are rotated out.

7. Security

We use reasonable safeguards to protect your information. These include encrypted (HTTPS) connections, a website firewall and malware scanning, restricted administrator access, regular software updates, and regular backups. No website or email system is perfectly secure, though, so we can’t guarantee absolute security. Please don’t send payment card numbers or other highly sensitive information through our general contact forms or by regular email.

8. Your choices

  • Newsletter: Every newsletter includes an unsubscribe link. You can also email us to be removed.
  • Cookies: You can block or delete cookies in your browser settings. If you do, the shop cart and some other features may not work properly.
  • Google Analytics: You can opt out of Google Analytics on all websites by installing Google’s opt-out browser add-on.
  • Do Not Track: The Site does not currently respond to browser “Do Not Track” signals.
  • Access, correction, and deletion: You may ask us what personal information we have about you, ask us to correct it, or ask us to delete it. Contact us using the details below. We may need to verify your identity, and we may keep information when the law requires it or when it’s needed for an active project, an order, or our legitimate business records. Depending on where you live, you may have additional privacy rights under the law, and we will honor requests as those laws require.

9. Children’s privacy

The Site is meant for adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has sent us personal information, please contact us and we will delete it.

10. Links to other websites

The Site links to other websites, including our social media pages, Google Maps, licensing and professional organizations, and the Grow It All app at growitall.mpdg.net. Grow It All is an MPDG product, but it has its own privacy policy and terms, and those govern your use of the app. We are not responsible for the privacy practices of websites we don’t operate, so please review their policies.

11. Changes to this policy

We may update this Privacy Policy from time to time, for example when we add new features to the Site or change the tools we use. When we do, we’ll post the updated version here and change the effective date at the top. If we make a significant change, we may also give additional notice on the Site.
